NEC DS1000 & DS2000 programming tips

NEC DS1000 & DS2000 programming tips
  1. Make sure you default the system before programming!!!
  2. Try not to use more than three proprietary cordless phones in a system. You'll get better performance if the bases can be kept apart from each other.
  3. The DSS/BLF panels will work ONLY with 34-button display phones
  4. When programming from a PC, the default password is 372000, for either the DS1000 or 2000. To get into programming,  press INTERCOM # * # * and the password, then HOLD, then enter the program number that you want to work with.
  5. When programming from a PC, make sure you have selected the correct comm port. The settings are 19200, 8 data bits, 1 stop bit, no parity.
  6. Your installation manual may tell you that you have to install RFI Suppressor Assemblies on several cables. This is not necessary with recent equipment (CPU circuit board model numbers ending with "B" or later; shipped since early 2003).
  7. You can press 6 on a display phone to display its intercom (extension) number.
  8. If you are using two power supplies in an 8-slot cabinet, put them in slots 1 and 3 to provide better ventilation.
  9. Phone wiring is NOT polarity sensitive.
  10. A power-failure phone running through the system is live only during a power failure.
  11. If you want to use the relay closure for something other than unlocking a door, use Program 0201. You can activate it is if it was a paging zone.
  12. In a conference call, you will have low volume if there are more than two outside phones connected, but you can probably use 5 or 6 inside phones without a problem.
  13. A 16DSTU card must be in slot #1.
  14. If any of the following features don't work, make sure they have been enabled in Class of Service programming: night key, direct trunk access, conversation record.
  15. If you want several people in your office to hear the other person on your phone call while you are using a handset, just press the SPK button (your microphone will be muted).
  16. You can program a pause in a speed dialing number by pressing MIC. Each time you press it, you enter a one-second pause, and it takes the place of one of the permitted 32 digits.
  17. The digital phones don't have transfer buttons. To transfer a call, press ICM, dial the intercom number of the phone where you want to send the call, and hang up.
  18. You can't set the time and date with PC programming.
  19. By default, 16 phones have mailboxes, but you can add more.
  20. You can have voice mailboxes that don't correspond to phones. See "guest mailboxes" on page 77 in the big manual.
  21. Mailboxes can be numbered from 300 to 427.
  22. Programming uses "military time." (2pm is 1400)
  23. You can dial pound star pound star to display the software version of your phone system.
  24. Auto attendant menus in the IntraMail system are held in specialized voice mailboxes. Mailbox 000 is the main menu.
  25. If your DS1000/2000 doesn't have a music source installed, consider disabling (N) 0201-MOH On Transfer. This ensures that transferred callers will hear ringback (instead of silence) while they wait for their transfer to go through.
  26. When installed on a DS1000 system, the IntraMail may discard a caller's voice mail message if the phone company takes too long before sending a disconnect signal (5 to 15 seconds). The mailbox will not send a message waiting lamp indication and it will not store the message. After calling into the voice mail, the mailbox user will have an indication that they received "One New Message". When they listen to that message, it will immediately say "The message has been saved" and the message waiting lamp will light. Since the actual message is not stored, there is no way to retrieve it. This message can be deleted by simply pressing the "3" key as with any other message. This problem is fixed in DS1000 software 03.03.02. To resolve this problem until the updated software is available, users should re-record their greeting to indicate that after leaving a message, the caller should press #. This will allow the voice mail to accept the message immediately and not wait for a disconnect signal from the central office. This problem has been reported on the DS1000 system, but it may also occur on the DS2000 system as well.
  27. After upgrading your DS1000/2000 software, to ensure proper feature operation be sure that all new programming options are set to their correct default values.
  28. If unanswered, Door Box chimes automatically cancel after 6 seconds. Extensions that chimed will still be able to answer the Door Box for up to 30 seconds.
  29. If unanswered, Door Box Ring Group ringing will automatically cancel after 60 seconds. Extensions will not be able to answer the Door Box after the ringing stops.
  30. When using 9902-Slot Assignment in DS2000 to install phone lines, be sure your first phone line extension number is 401. This ensures proper Voice Mail integration.

32. The attendant should have primary responsibility for answering calls. If unanswered at the attendant, the calls should ring other extensions.

Set up all lines to ring only the attendant (normally extension 300). If unanswered after 8 seconds, several other phones (e.g., 301-305) will start to ring. The attendant phone will continue to ring. (If you don't know how to enter, move around in, and exit your system's program, review the Software Manual.)

Step 1: Review the System Defaults

  • In 1003 - Direct Termination (Day), all phone lines are set to Key Ring (by pressing CLEAR).
  • In 1805 - Ring Assignment, all phone lines are set to ring all extensions immediately in the day and at night (entry 2).
  • In 0401 - phone line Delay Ring, the delay ring interval is 10 seconds.

Step 2: Set up Extension 301-305 for Delay Ring

  • In 1003 - Direct Termination (Day), leave all phone lines at their default setting (Key Ring).
  • In 1805 - Ring Assignment for extension 301, set all phone lines to delay ring (entry 4).
  • Use 9801 - Copy Command, to copy the 1805 data from extension 301 to extensions 302-305.

Step 3: Set the Delay Ring Timer to 8 Seconds

  • In 0401 - phone line Delay Ring, change the interval to 8 seconds.

33.  The attendant should have primary responsibility for answering calls. If unanswered at the attendant, the calls should ring the Voice Mail Automated Attendant.

Set up all lines to ring only the attendant (normally extension 300). If unanswered after 10 seconds, the Voice Mail Automated Attendant will answer and play the main greeting ("Thank you for calling . . .).

All phone lines will be directly terminated (i.e., DILs) to extension 300, day overflow will be enabled, and the overflow extension will be the Voice Mail master extension number. The DIL No Answer Time will be set shorter (10 seconds) than the phone line Revert Time (20 seconds). This eliminates the need to change any of the ringing assignments. Refer to the Direct Inward Line feature for more information. (If you don't know how to enter, move around in, and exit your system's program, review the Software Manual.)

Step 1: Review the System Defaults

  • In 1003 - Direct Termination (Day), all phone lines are set to Key Ring (by pressing CLEAR).
  • In 1003 - Activate Overflow During the Day, overflow is disabled (N).
  • In 1805 - Ring Assignment, all phone lines are set to ring all extensions immediately in the day and at night (entry 2).
  • Voice Mail is not installed.

Step 2: Set up Voice Mail

  • In 0510 - Group Number, select an available UCD Hunt Group for Voice Mail (e.g., 1).
  • In 0510 - Hunt Group Master Number, assign a Voice Mail master number (e.g., 700).
  • In 0201 - Voice Mail Installed, enter Y.
  • In 0201 - Voice Mail Master Extension Number, enter the Voice Mail master number assigned above (e.g., 700).
  • In 1802 - Voice Mail Port, enter Y for each analog extension connected to the Voice Mail.
  • In 1807 - Hunt Type, enter 5 for each analog extension connected to the Voice Mail.
  • In 1807 - Hunt Master Number, enter the Voice Mail master number (e.g., 700) for each analog extension connected to the Voice Mail.

Step 3: Set up DILs to the Attendant (Extension 300) and Overflow to Voice Mail

  • In 1003 - Direct Termination (Day), terminate all phone lines to the attendant by entering 300.
  • In 1003 - Activate Overflow During the Day, enter Y.
  • In 1003 - Day Overflow Destination, enter the Voice Mail master number (e.g., 700).

Step 4: Check the DIL No Answer and phone line Revert Intervals

  • In 0401 - DIL No Answer Time, enter 10. This will cause the phone line to ring the attendant for 10 seconds, and then overflow to the Voice Mail master number.
  • In 0401 - phone line Revert Time, enter 20. This will prevent the phone line Revert Interval from interfering with overflow to Voice Mail.

34. Several phones have primary responsibility for answering calls. If unanswered, calls should ring the Voice Mail Automated Attendant.

Since several phones should ring for incoming calls, set up Key Ring for each phone line. This allows the ringing to follow the settings in 1805 - Ring Assignments. The overflow time is set by the 0401 - phone line Revert interval. Overflow from Key Ring is enabled with the overflow extension being the Voice Mail master extension number. If unanswered after 8 seconds, the Voice Mail Automated Attendant will answer and play the main greeting ("Thank you for calling . . .).

Step 1: Review the System Defaults

  • The 0401 - phone line Revert interval is set to 15 seconds.

Step 3: Set up Key Ring and Overflow to Voice Mail

  • In 1003 - Direct Termination (Day), terminate all phone lines to Key Ring by pressing CLEAR..
  • In 1003 - Activate Overflow During the Day, enter Y.
  • In 1003 - Day Overflow Destination, enter the Voice Mail master number (e.g., 700).
  • In 1805 - Ring Assignment, leave the default setting at all extensions you want to ring immediately in the day and at night (entry 2). Change the option at other extensions as required (i.e., 1 = Lamp Only, 3 = Night Ring only, 4 = Delay Ring day and night).
    - You can also use User-Programmable Features #RAL to change the ringing assignment.

Step 4: Change the phone line (phone line) Revert Interval

  • In 0401 - phone line Revert Time, enter 8. This will cause overflow from Key Ring to occur after 8 seconds..

35. Customer needs to have a loud bell that rings for outside calls in a noisy work area.

Connect a 90 VAC loud bell (ringer) to an analog station port. The analog port outputs "ring generator" even though no phone is installed. This means that the loud bell will ring any time the analog extension is dialed on the Intercom, has a call transferred to it, or has a phone line programmed to ring it directly.

Enhancing Loud Bell Operation with Group Call Pickup

The following programming allows any user that hears the loud bell to answer the call by pressing their flashing Group Call Pickup key. If they don't have a Group Call Pickup key, they can use Directed Call Pickup (** + extension number) to pick up the call.

  • In 1802 - Group Call Pickup Number, put the analog extension with the loud bell into its own pickup group.
  • In 1701 - Programmable Function Key Assignments, assign a Group Call Pickup key to every extension that should be able to answer calls ringing the loud bell. The options are 09 (Immediate Ring), 10 (No Ring), or 11 (Delayed Ring). The group assignment should be the Pickup Group to which the loud bell extension is assigned.

Note: you can use the User-Programmable Feature #RAP to change the ringing assignment for Group Call Pickup keys.
  • In 0401 - phone line Revert Time, enter 8. This will cause overflow from Key Ring to occur after 8 seconds..
