IntraMail is available in two different sizes: a 4-port, 8-hour system, and an 8-port, 16-hour system. The number of ports indicates the number of simultaneous conversations the system can handle, and includes people inside your organization checking voicemail, as well as people calling from the outside.
  • If you want the system to provide automated attendant service as well as voice mail, you probably will need more ports than if it provides voice mail only.
  • If you want the system to provide full-time automated attendant -- answering every call immediately -- you will need more ports than if most calls are answered by human beings, and the system provides backup answering.

You will probably use voice mail more than you expect, so pick a voice mail system that has extra capacity. We don't know of anyone who regretted getting a bigger system than they thought they needed, but many people have regretted buying a system that was too small.

Either IntraMail system will provide 66 mailboxes with the DS1000 phone system or 160 mailboxes with the DS2000.

Recordings are held on a flash memory card -- like the ones used in a digital camera. There's no hard drive to make noise or wear out, and message retrieval is instantaneous!


Full integration
means that IntraMail fits inside the DS1000 or DS2000 equipment cabinet, does not take ports away from phone use, and does not require a separate power supply.

Also, IntraMail will show you the number of messages in your mail box as soon as you enter your mailbox, and will flash a message waiting lamp on your phone when you have a new message.

In addition, full integration allows IntraMail to supply interactive voice prompts to phone system users. For example, when an someone dials an intercom number that's not in use, she will hear a voice announcement that says, “The number you have dialed is not in service.”

  • One of the most useful aspects of this full integration is the interactive “soft” keys on display telephones which let you manage your voice mail without having to remember dialing codes. For example, to exit your mailbox after you’ve listened to your messages, simply press the softkey that says “EXIT”.

IntraMail’s Automated Attendant saves you and your callers time and money. Incoming calls are answered quickly with greeting messages that can change depending upon the time-of-day and/or day-of-the-week, and the line the call came in on. Greeting messages can be tailored to provide callers with dialing instructions such as “Dial 1 for sales, 2 for service or stay on the line to speak with an attendant.”

Busy offices will benefit from features like Caller ID with Return Call. Since the Caller ID number is associated with the voice mail message (if Caller ID is supplied by your local telephone company), it makes returning calls to people who have left messages in your voice mail mailbox that much easier.

Fax detection can save you even more money. Now there’s no necessity for a separate line for your fax machine. IntraMail can listen for a fax tone on an incoming call, and if it hears a fax tone it will automatically transfer the call to the jack where your fax machine is connected.

Conversation Record lets you record a conversation into your mailbox, review that conversation later and forward it to another person.
